How to Compare Project Management Software Pricing
Four project management tools, four different ways to count a seat. monday.com starts at three, Asana adds seats one at a time, ClickUp shows two price tables on the same page, and Trello's cheapest tier is $5. A five-step method for comparing them, read from the vendors' pricing pages as of October 2026.
This article is a documentation review: it is based on the vendors' own published pages, checked on the date shown. We may earn a commission from some links; it never affects what we recommend.
Project management tools all quote a price per user per month, which makes them look comparable. They are not, because each vendor counts users, bills periods and caps the free plan differently. This note reads the pricing pages of Asana, monday.com, ClickUp and Trello, as published on October 10, 2026, and sets out five steps that turn four headline prices into one comparable bill for a five-person team. Every total below is an editorial calculation from those public figures; where a page is unclear, the note says so.
Start with the free plan, because it decides who pays at all
Asana's Personal plan is free for up to 2 users with unlimited projects and tasks. monday.com's free plan covers up to 2 seats, 3 boards and 3 docs. Trello's free plan allows up to 10 collaborators per Workspace, 10 boards and 250 automation runs a month. ClickUp's Free Forever plan has unlimited members and 60 MB of file storage.
The caps point in different directions. Asana and monday.com limit people. Trello limits boards. ClickUp limits storage, not people, so a five-person team can stay free until attachments outgrow 60 MB. A team of two with simple needs may never leave the free tier on three of the four.
This is the same exercise as counting users and records in how to compare CRM free plans: find the cap you will hit first, then price the exit.
Count the seats the vendor makes you buy, not the ones you have
monday.com's FAQ states that plans start from 3 users. A two-person team on a paid plan pays for three seats. Asana's page describes seats added one at a time from 2 to 5 users, then in larger increments as the team grows, so a six-person team should check which bundle it lands in.
ClickUp and Trello state no seat minimum on their pricing pages. ClickUp instead documents guest seats: 5 guests for a one-paid-user Workspace on Unlimited, 10 on Business and Enterprise. Trello's free tier already allows 10 collaborators, which blurs the line between free users and paid seats.
A seat minimum has the same effect as the contact-counting rules in what contact limits mean in email marketing tools: the unit you are billed for is not the unit you think you are using.

Read annual and monthly prices as two separate products
Asana lists Starter at $10.99 per user per month billed annually or $13.49 monthly, and Advanced at $24.99 or $30.49. The toggle says save up to 18%. Trello lists Standard at $5 annual or $6 monthly, Premium at $10 or $12.50, and Enterprise at $17.50 annual only.
monday.com's Work Management page shows Basic $9, Standard $12 and Pro $19 per seat per month billed annually, with an 18% yearly saving. Monthly per-seat prices are not shown separately; the page shows struck-through 10-seat totals of $140 for Standard and $220 for Pro.
ClickUp's page, when read on October 10, 2026, displayed two price sets that do not match. One lists Unlimited at $7 yearly or $10 monthly and Business at $12 or $19. The other lists Core at $8, Business at $17 and MAX at $100, yearly only. Confirm in checkout before quoting either.
What annual billing is actually worth, in cash and in flexibility, is worked through separately in what annual billing discounts actually save on SaaS.
Price the AI line separately, because three of four sell it separately
ClickUp lists Brain AI at $9 and Everything AI at $28 per user per month on top of the plan, plus AI Super Credits at $10 per 10,000 credits. Its free plan includes 500 AI credits per workspace. For a five-person team on Unlimited at $7, adding Brain AI more than doubles the bill, from $35 to $80 a month.
Asana, monday.com and Trello do not list a separate AI price on the pricing pages read for this note. That does not mean AI is free on every tier; it means the pricing page is not where the limit is stated. Check the plan comparison table and the help center before assuming, the same way the sending allowance hides behind the contact count in email marketing contact limits.
Work the total for a five-person team on the entry paid tier
Editorial calculation, five seats, entry paid tier, annual billing, list prices as of October 10, 2026, no AI add-ons:
- Trello Standard: 5 x $5 = $25 a month, $300 a year
- ClickUp Unlimited: 5 x $7 = $35 a month, $420 a year (using the first of the two price sets on the page)
- monday.com Basic: 5 x $9 = $45 a month, $540 a year (above the 3-seat minimum)
- Asana Starter: 5 x $10.99 = $54.95 a month, $659.40 a year
The spread is more than double between cheapest and most expensive. On monthly billing the gap widens: Asana Starter becomes 5 x $13.49, $67.45 a month, and Trello Standard 5 x $6, $30. monday.com's monthly per-seat price is not published as a single figure, so its monthly total cannot be stated with the same confidence.
These totals are not a ranking. Trello's $25 buys a board tool with 250 automation runs free and more on paid tiers; Asana's $54.95 buys a work-management system with timeline and workflow features that Trello sells on Premium. The point is to compare the bill for the features you will use.
Check the trial before the free plan tempts you
monday.com offers a 14-day free trial of the Pro plan for Work Management, CRM and dev, per its FAQ. Trello says any user can start a Premium trial for their Workspace but does not state its length. Asana's pricing page does not mention a trial. ClickUp's page labels some free-tier features as trials but lists no trial of paid plans.
A trial of the top tier, as monday.com offers, shows you features you may not buy. A free plan shows you the product you will actually live with at the price you will pay. Which to start with is worked through in free trial or free plan: which to start with.
Bottom line
Compare project management pricing in this order: free plan cap, seat minimum, annual versus monthly, AI line, then the total for your real head count. On that method, a five-person team pays from $25 to $54.95 a month on the entry paid tiers, as of October 10, 2026.
Two cautions from the pages themselves. ClickUp showed two price tables at once, so confirm in checkout. And monday.com's three-seat minimum means a two-person team pays for a third chair. The billing model matters as much here as it does in the lead-generation tools covered in how lead-gen tools bill.
