How Per-User Pricing Works With Contractors

If half your team are contractors, the seat price on a pricing page is not your bill. What matters is each vendor's definition of a billable user, and those definitions differ far more than the prices do. Some vendors give you free guests. Some bill external collaborators exactly like staff. Some bill by permission level rather than by person, so a read-only contractor costs nothing and an editing contractor costs full price. This note sets out the rules at Slack, Asana, Figma, Airtable, Notion and monday.com, from their own pages as read on October 10, 2026. For the meters underneath, see per seat, per contact or per credit.

Start by asking what the vendor calls a billable user

There are four published definitions in use across these six vendors, and the one you get decides everything else.

  • Per member, with free guests: the external person is a different account type that costs nothing, usually with narrower access.
  • Per member, guests billed as members: the external person is a seat like any other.
  • Per permission level: billing follows what the person can do, so read-only access is free and edit access is paid.
  • Per seat type: the vendor sells several seat grades at different prices, and you assign the cheapest grade that does the job.

Write your contractor list into whichever category the vendor uses before you look at the price. The categories move the total far more than a few dollars per seat.

Slack gives five free guests for every paid member

Slack's guest roles documentation, checked October 10, 2026, describes two types. Single-Channel Guests have access to one channel; Multi-Channel Guests have access to only the channels you specify.

The billing split is sharp. The documentation states that Multi-Channel Guests are billed as regular members and can be added to an unlimited number of channels.

Single-Channel Guests are free, with an allowance tied to headcount: for every paid active member in your workspace, you can add up to 5 guests. Guest accounts are available only on paid plans.

Editorial calculation: a 10-person paid workspace can host up to 50 Single-Channel Guests at no extra cost. Giving one of those guests a second channel converts them into a full billable seat.

The design question follows from the billing. One project channel per contractor keeps them free; a general channel plus a project channel does not.

Asana and Notion put guests outside the seat count

Asana's pricing page lists unlimited free guests across its paid plans, with Starter at $10.99 per user per month billed annually or $13.49 monthly, and Advanced at $24.99 annually or $30.49 monthly.

Enterprise is contact sales and carries SAML and the Audit Log API. If your contractors need to sit behind your identity provider rather than outside it, that is a different conversation; see what SSO and audit logs cost as SaaS add-ons.

Notion defines guests explicitly as external collaborators outside your organization, such as agencies, partners, contractors or vendors. Its FAQ states that guests are free of charge but can only access individual pages they are invited to.

The guest allowance is capped by plan. Notion's plan comparison shows an external guest limit of 10 at the lower end and unlimited guests at the upper end, against seat prices of $10 on Plus and $20 on Business.

Notion's seat accounting matters before a project ends. The page says removing a member frees a paid seat you can reassign for the rest of the billing period, with the count resynchronised at renewal.

Figma and monday.com sell cheaper seat grades instead of free guests

Figma prices by seat type rather than by person. Per its pricing page checked October 10, 2026, Professional is $16 a month for a Full seat, $12 for a Dev seat and $3 for a Collab seat.

Organization is $55, $25 and $5 respectively, billed annually, and Enterprise is $90, $35 and $5. A Collab seat covers full access to FigJam, Figma Slides and Figma Buzz, plus view and comment access in Design files.

Below that, Figma's page says that on a paid plan you can let others view and comment on your files without purchasing extra seats. A reviewing client therefore costs nothing; a contractor who opens Dev Mode costs a Dev seat.

monday.com uses free viewers instead of seat grades. Its pricing page lists the Free plan at up to 2 seats with unlimited free viewers, then Basic at $9, Standard at $12 and Pro at $19 per seat per month on the Work Management product.

The seat selector matters as much as the rate. The monday.com page shows seat brackets of 10 on Work Management plans and 3 on the CRM, Service and Dev products, so confirm the minimum you can buy.

Airtable bills by permission, which suits mixed teams best

Airtable's rule is the simplest to apply to a contractor-heavy team. Its pricing page states that you are charged for all users who have edit permissions for at least one base.

It then states that no charges apply for read-only collaborators, form submissions or share links. A reviewer, an approver or a data supplier filling in a form costs nothing at all.

The paid rates are $20 per user per month on Team and $45 on Business, both billed annually, with Enterprise Scale quoted individually. Charges are prorated when users are added mid-month.

Permission-based billing has one trap: a contractor who needs to edit a single field in a single base is billed exactly like a full-time editor. Consider forms for one-off input rather than edit access.

Check the mid-term rules before the contract starts

Short engagements are where seat pricing goes wrong. Figma's FAQ states that if you add paid seats during an annual term, it charges a separate monthly subscription for those seats at the monthly price, prorated from approval.

That means a three-month contractor added to an annual Figma plan is billed at the monthly rate, not the annual one. The same person hired at renewal would cost less.

Notion's rule runs the other way. Adding a member mid-cycle creates a prorated charge; removing one gives no credit but leaves the seat available for someone else until the period ends.

Ask three questions before signing: what is the prorating rule on addition, what happens on removal, and can seats be reassigned. The annual-term trade-offs are in what annual billing discounts actually save.

Bottom line

For a team that is half external, the cheapest structures published here are Airtable's permission-based billing, Slack's 5 free Single-Channel Guests per paid member, and Figma's free view-and-comment access on paid plans.

The most expensive mistake is granting one extra channel, one extra permission or one extra seat grade without checking what it converts a free collaborator into. At Slack that single change costs a full member seat.

Price your contractor roster, not your headcount, and re-price it at every renewal. Related reading: how to compare project management software pricing, how to compare CRM free plans, what happens when a SaaS usage limit runs out and free trial or free plan.

Frequently asked questions

Are Slack guests free?

Single-Channel Guests are. Slack's documentation says that for every paid active member in your workspace you can add up to 5 guests, and that guest accounts are available only on paid plans. Multi-Channel Guests are billed as regular members, as of October 10, 2026.

Which tools let contractors in without paying for a seat?

Asana lists unlimited free guests on its paid plans, Notion says guests are free of charge with access only to pages they are invited to, Airtable charges nothing for read-only collaborators, and monday.com offers unlimited free viewers, per pages checked October 10, 2026.

How does Airtable decide who is a billable user?

By permission rather than by person. The pricing page says you are charged for all users with edit permissions for at least one base, and that read-only collaborators, form submissions and share links carry no charge. Team is $20 and Business $45 per user per month billed annually.

Is a short contract cheaper on monthly or annual billing?

Often monthly. Figma's FAQ states that seats added during an annual term are billed as a separate monthly subscription at the monthly price, prorated from approval, so an annual commitment does not extend to mid-term additions, as of October 10, 2026.

What happens to a seat when a contractor leaves?

At Notion, removing a member opens up one available paid seat, with no credit issued but the seat reusable for the rest of the billing period, and the count resynchronised at renewal. Confirm the equivalent rule with any vendor before a project ends.

Does per-seat pricing ever have cheaper seat grades?

Yes. Figma sells Full, Dev and Collab seats at $16, $12 and $3 a month on Professional, and $55, $25 and $5 on Organization. A Collab seat gives full FigJam, Slides and Buzz access plus view and comment rights in Design files, as of October 10, 2026.
